2. Decide who owns each tool

For every AI-enabled tool on your list, name one person who is responsible for it. That person does not need to be technical, they just need to understand what the tool does, what data it touches, and how to switch it off or escalate a problem quickly.

3. Know how to turn it off

For each tool, write down the steps to disable or pause the AI features. This might be as simple as turning off a setting in the admin panel, or it might mean revoking access through your IT provider. Either way, have the steps documented somewhere accessible not buried in an email from six months ago.

4. Set simple rules for your team

Make it clear which AI tools are approved for work use, what kind of information should never be pasted into an AI tool (customer details, financial data, passwords), and who to talk to if something looks wrong. Keep the rules short and practical. A laminated sheet on the wall is worth more than a 20-page policy nobody reads.

5. Check in quarterly

AI tools change often. Software updates add new features. Subscriptions expire or change terms. Set a reminder every three months to review your list of tools and make sure everything still makes sense.

Passwords, Accounts, and the Security Connection

AI tools typically connect to your business through existing accounts such as your email, your Microsoft 365 login, your browser. If those accounts are not properly secured, AI does not just introduce its own risks; it multiplies the risks you already have.

A compromised email account, for example, does not just give an attacker access to your inbox. If that account is also connected to AI tools that can read, draft, or send messages, the attacker’s reach extends much further.

But the time you save by not checking is nothing compared to the time you lose when a mistake slips through and causes a chain reaction: unhappy customers, incorrect invoices, wasted parts, or missed deadlines.

Keeping humans in the loop is not about slowing things down. It is about making sure the tools serve the business, rather than the business serving the tools.

What Good AI Use Looks Like on the Workshop Floor

The workshops that make AI work well have a few things in common:

  • They start with one simple use case such as drafting customer update emails or summarising job notes and get that working properly before adding more.
  • They keep clear records of which tools are in use and who owns them.
  • They set boundaries for their team. What is fair game for AI and what is off-limits.
  • They make sure accounts are properly secured before connecting new tools.
  • They review their setup regularly, rather than setting and forgetting.

None of this requires specialist knowledge. It requires discipline, clear communication, and a willingness to treat AI like any other piece of kit in the workshop. Useful when maintained, risky when ignored.
