What is Office 365 and how much does it cost?

Office 365 is Microsoft's subscription service for office apps such as word, excel, PowerPoint and outlook. If you want to run any of these programmes on a PC, Mac, tablet and phone you will need a Microsoft 365 package.

How much does Office 365 cost?

Office 365 is priced on a per user basis for businesses. Each plan has an annual commitment and therefore it's important to find the right one for your business. For example, some businesses don't need the desktop apps and can operate within web-based applications thus reducing the licencing costs. Let's take a look in more detail at the different plans.

Office 365

Business Basic:

Business basic should be seen as the starter pack of all the Office 365 plans. Its fantastic for those on a budget with prices start from as little as £3.80 per user, per month.

Business basic package includes Outlook, Word, Excel and PowerPoint as well as Teams and SharePoint however the reason the business basic is the starter package is that you don't get to download the apps to your device meaning you can only use the web version of the package.

For some, using the online version is perfectly workable but for others they find drawbacks such as formatting which can be different and a bit more awkward via the online version.

Office 365 2

Apps for Business:

For just £7.90 per user, per month you can benefit from the Apps for Business package. This particular plan gives you the desktop and mobile versions of Excel, Word, PowerPoint and Outlook whilst also including 1TB of cloud storage through OneDrive.

With Apps for Business you have access to the web versions of Word, Excel and PowerPoint but not Outlook.

Business Standard:

For those of us who like the benefit of having the desktop versions of the apps then Business Standard is for you. The cost of the Business Standard licence is £9.40 per user, per month. What's fantastic about the Business Standard package is that you can install these apps on up to five PCs or Max per user perfect if you have a desktop in the office and a laptop at home!

Business Standard includes all the same apps you would expect from a business package outlook, word, excel, PowerPoint and OneNote meaning you can stay fully installed an up to date at all times.

Alongside the apps you can also still use the web search and the mobile apps meaning the Business Standard offers a great deal for less than £10 a month.

Office 365 3

Business Premium:

The Business premium package offers everything that the other versions do but with the added benefit of advanced security and device management. These cover things such as:

· Remotely wiping data from last or stolen devices

· Cloud archiving

· Automatic deployment of office apps to Windows 10 PCs, and

· Information rights management full

If you are a larger business or a business that deals with sensitive data then this would be the best package for protecting your business. Price for the business premium package is £15.10 per user, per month which offers considerable value for money.

This is great, but I don’t want to pay a monthly subscription!

Currently Microsoft is still offering Office 2019 as a standalone one time purchase. The downside with this is that it comes with no upgrade options and you don't get any automatic updates or patches.

Prices for Office 2019 start at £392.00 for the Home and Business package with prices rising to £535 for the Office Professional. It is worth noting this only allows you in to install it on one PC meaning if you have a laptop as well as a PC you will need to decide which one the package goes on or purchase 2 which can workout very expensive.

Can I purchase the Apps on their own?

Yes you can. The option to purchase standalone Office apps for PC and Mac does exist but generally isn't the best approach. Prices for these apps start at £137 each but contain none of the other features of 365.
